EITHER 1) Reachable on the Civil Service eligible list; OR 2) Eligible for reassignment by virtue of having permanent competitive service as an Office Assistant 2- Stores/Mail (SG-9); OR 3) Eligible for transfer under the provisions of the Civil Service Law by virtue of having one year of permanent competitive service in an appropriate title.
To be appointed via the NYHELPS program, you must meet the following requirements:
One year of experience where most work time is spent performing activities related to mail receipt, mail distribution, storage, and/or stores keeping.
Duties Description Position Summary
The Office Assistant 2-Stores/Mail is assigned to the mailroom and will handle the mail; perform printing jobs, as well as manage the storage, inventory, and distribution of supplies and/or equipment. The workload of the Office Assistant 2-Stores/Mail requires the ability to multi-task. The ability to use a computer is necessary, so the incumbent must have basic computer skills. This position will supervise lower-level staff and provide back up and support to the OA 3 Supervisor in their absence.
The work of the Office Assistant 2-Stores/Mail may involve some heavy lifting, therefore the ability to lift 50 pounds is required.
The position also requires the incumbent to have a valid driver’s license.
The department's intention is to fill two (2) positions.
NY HELPS Program Information
This title is part of the New York Hiring for Emergency Limited Placement Statewide Program (NY HELPS). Please note: This is a promotional title, so all promotional opportunities must be exhausted before a non-state employee can be appointed via NY HELPS.
For the duration of the NY HELPS Program, this title may be filled via a non-competitive appointment, which means no examination is required but all candidates must meet the minimum qualifications, and any specialized requirements, of the title for which they apply.
At a future date (within one year of permanent appointment), it is expected employees hired under NY HELPS will have their non-competitive employment status converted to competitive status, without having to compete in an examination.

• Able to operate machinery such as an Inserter or Labeler, high speed B&W and color printers which requires programming for each job

Job Duties
The Office Assistant 2-Stores/Mail is responsible for, but not limited to, the following duties:
• Opening/sorting mail, folding/inserting letters and inter-office mail delivery
• Receives, stores and distributes goods, materials, equipment and records in a stockroom/mailroom
• Loads, unloads and physically handles equipment and supplies
• Rotates stock in storage areas as required
• Maintains perpetual inventory records to monitor and control inventory stock levels
• Maintains records or logs of items shipped, delivered and received
• Assesses the need for ordering supplies, materials and equipment based on inventory levels
• Prepares purchase requisitions to procure goods, materials, equipment and supplies
• Prepare various reports related to inventory of materials received and distributed
• Plans or assists in the layout of storage areas
• Communicates with agency staff, users, vendors, manufacturers, shippers and other parties
• Evaluates clerical procedures and processes forms and documents relative to the efficiency of operations
• Supervises subordinate staff
• Prepares and mails monthly retirement checks
• May perform courier runs in a motor vehicle
