Duties Description The Administrative Assistant will play a crucial role in supporting the newly established Training Institute under the Accessibility Unit of the New York State Board of Elections. This position is essential for ensuring efficient administrative operations and facilitating communication and coordination among team members, county Boards of Elections, and training participants.

Key Duties and Responsibilities:

Administrative Support:
-Provide comprehensive administrative support to the Training Institute staff, including managing calendars, scheduling meetings, and coordinating appointments.
-Prepare documentation for meetings and training sessions.

Document Management:
-Organize and maintain records of training materials, participant information, and curriculum updates.
-Assist in the development and distribution of training materials, reports, and presentations.

Data Entry and Management:
-Assist in tracking and reporting training participation and outcomes.

Financial Administration:
-Process Travel Support budget tracking and expenditure monitoring related to training programs, preparing financial reports as necessary.
-Coordinate travel expenses for training staff and ensure adherence to state travel policies and procedures.

Communication and Collaboration:
-Serve as a point of contact for inquiries related to the Training Institute, providing timely and accurate information to county Boards of Elections and participants.
-Facilitate communication between the Training Institute and various stakeholders to ensure smooth collaboration on training initiatives.

Perform other tasks and matters as may reasonably be assigned.

This position is vital for supporting the Training Institute’s mission to enhance the professional development of poll workers and ensure a well-managed, inclusive election process in New York State.

Minimum Qualifications Two (2) years of progressively responsible office experience or general business or other related Experience. College or business school studies/training may be substituted in whole/part.
