Duties Description This item works in the Superintendent's office. Answers telephone, greets visitors, takes messages, responds to inquiries and forwards individuals to appropriate parties. Opens, reads, routes and distributes incoming mail and other materials. Tracks and coordinates assignments. Set up and manage paper and electronic files. Utilize and operate IT systems such as email, spreadsheets, word processing, printers, scanners, and copiers, and arrange repairs when needed. Performs data entry and maintains schedule, events, confirms appointments for clients, customers and supervisors. Coordinate conferences, meetings or special events and creates travel expense reports and travel arrangement. Locate files, complete forms, make copies of documentation and reply to correspondence. Compose, type and distribute reports, notes and correspondence. Take minutes, dictate and manage projects as well as provide training if needed to new staff.
Minimum Qualifications Open to New York State employees- Candidates must be reachable for appointment from the current Civil Service eligible list for Administrative Assistant 2, OR,
Transfer Opportunity- Candidates must have permanent status as an Administrative Assistant 2, and be eligible for lateral transfer, OR,
Promotion: One year of service as an Administrative Assistant 1 and be eligible for appointment from the Administrative Assistant 2 list for permanent appointment, OR,
Provisional Opportunity- Candidates must be qualified employees of New York State and have at least one year of permanent competitive or 55-b/55-c service in the following title: Administrative Assistant 1
