Duties Description The incumbent of this position will perform duties consistent with the standard for this title in a transportation maintenance residency office. As such, the selected candidate will process transactions; maintain records, documents, and information; and produce correspondence, reports, charts, etc. Incumbents must be able to read, understand, and apply procedures, rules, regulations, and laws.

Duties include, but are not limited to:

• Sorting and distributing mail;
• Maintaining records and files;
• Answering telephones and appropriately responding to or referring inquiries made by employees, vendors, and customers;
• Maintaining department databases;
• Providing assistance to the Transportation Office Assistant 2 in the administration of the residency program which may include Personnel, Purchasing, and Training related activities, such as:
- Processing paperwork and data entry for personnel transactions and conducting
employee orientations;
- Assisting with ordering and receiving supplies and creating purchase orders and
vouchers; and
- Distributing and tracking training related information and tracking and editing
TRINFO data as needed.

Preferred candidates will possess excellent written and oral communication skills as well as proficiency in computer programs such as Microsoft Word, Excel, PowerPoint, and Outlook.

Responsibilities may include serving a role within the Incident Command System to support the department’s response to regional and statewide emergency situations.

*This title is part of the New York Hiring for Emergency Limited Placement Statewide Program (NY HELPS). For the duration of the NY HELPS Program, this title may be filled via a non-competitive appointment, which means no examination is required but all candidates must meet the minimum qualifications of the title for which they apply.

At a future date, it is expected employees hired under NY HELPS will have their non-competitive employment status converted to competitive status, without having to compete in an examination. Employees will then be afforded with all of the same rights and privileges of competitive class employees of New York State.
