Duties Description The New York State Office of Mental Health (OMH) is recruiting to fill one Senior Administrative Analyst/Administrative Analyst Trainee, G-18, position in the Office of Quality Management (OQM), Lean Six Sigma Unit. Under the general direction of a higher-level Mental Health Program Specialist, the Senior Administrative Analyst will conduct studies, analyze related data, and develop recommendations for the promotion and use of Lean Six Sigma (LSS) concepts and methods agency-wide. In addition, the incumbent of this position will review, coordinate, and update administrative procedures in accordance with LSS concepts. The incumbent will also provide guidance and technical support during all phases of LSS activities and perform the full range of Senior Administrative Analyst responsibilities which include, but are not limited to, the following:
• Manage and update crucial distribution lists.
• Manage or organize hiring/interviewing and on/off-boarding process for staff.
• Ordering equipment, office supplies, travel cards for staff including securing PINs for gas cards, getting code to access building after hours.
• Main contact for scheduling meetings and re-occurring events/meetings and assisting directors with calendar management.
• Main SFS processing contact for staff travel, contract staff timecards, expenses, orders and consolidating SFS wallets for all OQI staff.
• File maintenance (digital and record maintenance) including archiving with records warehouse process.
• Managing, maintaining, and updating trackers such as RCA and others.
• Setting up and organizing bi-annual Quality Director and other meetings including preparing hand-outs, securing space, managing invitation/registration and any other aspects related to the process.
• Entering and managing any soft and hardware requests including RFAs for all staff.
• Oversight of AOD schedule, office phone and facility list.
• Submitting ITS requests/tickets and proper follow-up on behalf of staff.
• Managing phones and mails for the office.
• Distributing any correspondence, including confidential information, related and not limited to desk audits, investigations, reviews, Root Cause Analysis, Corrective Action plans, overdue letters etc.
• Managing and overseeing office designated state vehicles and all aspects regarding maintenance and documentation requests for the fleet service, including auditing travel logs as required before submitting to the fleet office.
• Ordering and managing office supplies and maintenance of copy machine and any other equipment.
• Ensure any necessary office related information is getting proper distributed to all staff.
• VPCR assignment process for abuse/neglect cases to providers via email and managing log and trackers.
• Supervising one admin support staff
• Responding to general inquire of dqm mailbox and distributing ordered posters and any other task related to operational needs to Customer Relations, External Review or Incident Management team members.
• Other duties as assigned.
Minimum Qualifications Non-Compettive Appointment:
Candudates must have a bachelor's degree and two years of professional experience conducting management and organizational studies to review and revise procedures for new or changing programs, review organizational performance, conduct data analysis, and develop internal controls.
A Juris Doctor, master's or higher degree in a related field can substitute for one year of specialized experience.
In order to be eligible for transfer, candidates must have one year of permanent competitive or 55-b/c service as a Senior Administrative Analyst, Grade 18, and be eligible for lateral transfer; OR be eligible to transfer under Section 52.6 or Section 70.1 of the Civil Service Law.
Additional Comments The salary listed applies to candidates appointed to Senior Administrative Analyst, SG-18. The salary for candidates appointed to Administrative Analyst Trainee 1 starts at $52,198 and, for current New York State employees, is based on the candidate’s salary at the time of hire.
