Duties Description The NYS Commission on Ethics and Lobbying in Government seeks an energetic, organized, detail-oriented and dependable person to join the Administration Division and provide general administrative support in a busy office environment to executive staff who manage sensitive and/or confidential information.
Duties of this position include general administrative support functions, such as:
-Answering and directing incoming phone calls in a polite and friendly manner.
-Greeting and assisting all visitors to the reception area.
-Assisting callers with general questions concerning the Commission’s jurisdiction under the Lobbying and Ethics Laws (i.e. filing deadlines, training, etc.).
-Opening incoming mail and distributing to unit or staff mailboxes.
-Preparing outgoing mail for postal or express delivery services. Operating postage mail meter and keeping appropriate logs and records.
-Maintaining remittance logs.
-Operating standard office equipment on a regular basis, including a photocopy machine and a desktop computer.
-Monitoring the Commission’s Ethics electronic mailbox and forwarding to appropriate staff.
-Maintaining and organizing files.
-Assisting staff with general administrative support functions, as needed.
-Acting as backup to revenue check processing
-Acting as backup to Receiver of Goods.
-All duties involved in opening and closing the reception area.
Minimum Qualifications Minimum 2-3 years relevant experience in an office environment. Must have excellent communication and interpersonal skills. Comfortable multi-tasking and prioritizing tasks with some guidance. Proficient in Microsoft Office. Punctual with strong attendance history.
