Duties Description This position functions as a support to the regional office Prevention and Domestic Violence residential programs unit in NYC
Duties include

• Maintaining DV- Share point Tracking of FS and Program inspections, monitoring reviews and renewals. The 37 programs are either monitored annually or undergo a renewal to license the programs.
• Track, process DV operating Certificates. File paper documents.
• Maintain unit complaint and Incident Logs, including inquiries, ETS, PIO.
• Develops and update PPRS agencies flies, contact list, records, and site visits in the I-Drive or SharePoint.
• Maintain PPRS/DV provider directories and distribution list.
• upload letters to share point- correspondence including, site findings report, PIP, approval letters and follow up correspondence.
• update tracking system in Prevention.
• Generate minutes for unit meetings.
• Provide administrative support to PPRS supervisors.
• Schedule video and phone conferences and book conference rooms for unit or community meetings
• Coordinate and assist with materials, agendas, and handouts in preparation of staff meetings and trainings.
• Maintain PPAI unit staff’s weekly itinerary.
• Scan letters/reports as requested
• Assist in sending out PIP approvals and finding letters, to agencies, ACS,
• Handle all incoming and outgoing mail for PPAI staff.
• Create and Update contact list for the DV and Prevention agency programs.
• Scan and copy materials- correspondence to agencies and ACS.
• Assist with gathering documents for archiving.
• Maintain inventory of unit office supplies and order through SFS.
• Assist with submitting of travel expense reports for staff.
• Additional administrative duties, as necessary
• Make copies of DV Operating Certificates and filing a copy into the DV logbook and I: Drive folders (after assigned program staff reviews the OC).
• Inputting “general” DV incident information into spreadsheet to include date received, program name, agency contact name, type of incident and general description of incident (*PPAI program staff will review the incident reports and follow-up).
• Create electronic I: Drive DV and PPRS folders for filing of upcoming review document.
• Distributing Metro cards and travel tracking log
• Keeping track of, and ordering needed supplies (pens/pads, etc.) for the unit.

Minimum Qualifications One year of permanent competitive or 55b/c service in this title or in a title eligible for 70.1 transfer.
This position may be designated 55 b/c and is subject to verification of applicant eligibility.

Additional Comments Background Investigation Requirements:
1) All prospective employees will be investigated through a Criminal Background Check (CBC), which includes State and federal Criminal History Record Checks. All convictions must be reported; conviction of a felony or misdemeanor, or any falsified or omitted information on the prospective appointee’s employment application, may bar appointment or result in removal after appointment. Prospective employees will be fingerprinted in order to obtain a record of their criminal history information, and may be required to pay any necessary fees.
2) All prospective employees will be screened against the Statewide Central Register of Child Abuse and Maltreatment (SCR). Prospective employees will be required to pay any necessary fees.
3) For Division of Juvenile Justice and Opportunities for Youth (DJJOY) prospective appointees will be checked against the Staff Exclusion List (SEL) maintained by the Justice Center for the Protection of People with Special Needs. Prospective employees whose names appear on the SEL as having been found responsible for serious or repeated acts of abuse or neglect will be barred from appointment and may have their names removed from the eligible list(s) for the title(s) if applicable.
