Duties Description The Program Aide position is in the non-competitive class and will be filled through the review of a résumé and a personal interview process. A Program Aide functions as a paraprofessional who performs a wide variety of administrative activities and tasks in support of a professional and/or technical position within the Division.
DUTIES
Daily updates to Workers’ Compensation database with information pertinent to On-Duty Injuries (ODI’s), including: Accident Reporting System (ARS) #’s, Carrier Case #’s, Workers’ Compensation Board (WCB) #’s, date of injury (DOI), type of injury, cause of injury, leave used, and notes related to WCB Notice of Decisions, etc.
Pull NYSP administrative report of injury (Insp-8) emails from shared HR mailbox and process all NYSP Employer Reports of Injury (C-2’s) in the ARS.
Complete additional ODI forms as needed for the insurance carrier (New York State Insurance Fund - NYSIF) and the WCB: C-11, C256.2 and C240.
Weekly updates to Modified Duty (MD) database (return to MD, continue MD, return to Full & Strenuous duty, etc.).
Write and disseminate weekly correspondence to Troops/Details related to incoming medical documentation reviewed by the Division Physician regarding MD.
Complete disability insurance wage forms for signature and distribution.
Tracks benefit usage/exhaustion dates for ODIs, MD and Leave Without Pay.
Answers emails and phone calls from Troops/Details, employees and NYSIF relating to medical unit inquiries.
Assist with year-end Department of Labor - DOSH900, DOSH900.1 and Bureau of Labor Statistics reports.
Assist with answering incoming main line calls, forward to appropriate parties.
Assist with verbal verification of employment.
Open mail from NYSIF.
Assist other Benefits Administration Units (BAU) with various tasks as needed.
Assist with tasks as needed by the BAU - HR Specialist 1 and 2.
Supervise G6 in the Medical Monitoring Unit.
Minimum Qualifications Two (2) years permanent service as a New York State employee in a title allocated Salary Grade 6 or higher,
OR
One (1) year permanent service as a New York State employee in a title allocated Salary Grade 9 or higher,
OR
High School diploma and two years of experience in an administrative support role, which includes use of office software (e.g., email, word processing), provision of customer service, business writing, and/or management of an office.
Minimum qualifications must be met by the closing date of the posting.
