Duties Description Under the direction of the CCE Events Manager, coordinate events such as festivals, concerts, and other special events held at the Empire State Plaza (ESP), Empire State Plaza Convention Center, Harriman Campus, and other OGS-managed facilities.

• Manage the New York State Dr. Martin Luther King, Jr. (MLK) State Agency Liaison program on behalf of OGS and serve as CCE point of contact for all MLK related programming and initiatives (book drive, food drive, career fair, art and essay display). Facilitate monthly meetings with the liaison work group, distribute announcements, and gather ad copy and payments for the annual program journal.
• Provide research, development, and logistical support aimed at promoting diversity, equity, inclusion and accessibility for all CCE-produced events and programs.
• Assist with generating new business and events through outreach and promotions especially as related to cultural events, food service operators, merchandise vendors, and information services.
• Coordinate and act as the on-site manager for all assigned events, including evening and weekend programs as needed. The role will consist of managing event staff, tech, and labor, in addition to vendors, security, food services, custodial, and facility operations. Interface with additional OGS support departments regarding event logistics as needed.
• Coordinate space use at the Empire State Plaza (ESP), Empire State Plaza Convention Center, Harriman Campus, and other OGS-managed facilities for a wide range of special events. Oversee site visits, scheduling, logistics, and billing as required.
• Assist with administrative and financial tasks required for the planning and execution of assigned events including, but not limited to, writing and sending proposals, budgets, event program sheets, contracts and invoices, and additional correspondence to clients and staff necessary to ensure successful execution of each event.

Operational Needs:
• Ability to work a flexible schedule which includes evenings, weekends, and holidays.
• Overtime is mandatory.
• Travel is required (approximately 5%).

Minimum Qualifications Six years of professional experience* in marketing or promotional work that includes responsibility for event planning and financial oversight for indoor/outdoor events and/or facility usage of a convention center, conference hotel, or performing arts venue.

Substitution: A bachelor’s degree in travel and tourism, marketing, public relations, communications, business administration, or hotel and restaurant management may be substituted for up to four years of experience. An associate degree in the fields above may be substituted for up to two years of experience.
