Duties Description Under the supervision of the Director of the Reservation and Pass Programs, the selected candidate will serve as the Operations Division Assistant. This position serves as a shared resource and spans four bureaus and programs within the Operations Division. Duties include but are not limited to:
Providing direct administrative support to the Operations Division's bureaus and programs.
Completing procurement and requisition requests in accordance with state/agency guidelines
Maintaining scheduling and event calendars across division, including the Director of Agency Operations.
Managing inventory, pays invoices, and reconciles purchases and travel documentation in SFS.
Arranging and processes travel for division staff and submits travel expense reports in SFS (Statewide Financial System) in accordance with state/agency guidelines. Assisting in the organization, maintenance, and updating of electronic information and documentation
Scheduling and confirming appointments for visitors, staff, and/or supervisors (Microsoft Teams/Webex).
• Scheduling and preparing materials for candidate interviews.
• Onboarding/Offboarding employees.
• Entering and maintaining information in expenditure tracking spreadsheets and databases.
• Preparing and distributing monthly budget reports to Director of Agency Operations and/or Bureau Directors.
• Documents and updates bureau processes and procedures.
Assisting programs within the bureau and in the division as needed, including, but not limited to:
o Updating and/or transcribing daily voicemail log
o Monitoring shared mailboxes
o Opening Access Pass/Empire Pass mail
o Fulfilling Access Pass/Empire Pass mail orders
o Mailing out applications
o Supporting camping/pavilion program projects as they arise
Other duties as appropriate
Minimum Qualifications Two years of experience in maintenance, construction, landscaping, business operations, park operations, or in an organized recreation program.
Additional Comments OPERATIONAL NEEDS:
Proficiency with Microsoft Office Suite. The ideal candidate should also be proficient with various virtual meeting platforms.
