Duties Description The New York State Board of Elections is seeking a dedicated and friendly Administrative Assistant to join our team. The ideal candidate will excel in a customer service role, providing support and information to the public, working closely with other staff members to ensure all inquiries and tasks are handled efficiently during general and primary elections. This position requires someone who is organized, communicative, and capable of handling multiple tasks with a positive attitude.

This position is for employment with the Information Technology Unit of the New York State Board of Elections (SBOE) in Albany, NY and may require occasional evening and weekend hours, especially during election and campaign finance filing periods. The State Board of Elections works with, but is independent from, the NYS Office of Information Technology Services.

Duties include, but are not limited to, the following:

Customer Service
• Answer incoming phone calls and direct inquiries to the appropriate departments.
• Entering, assigning and responding to support inquires via phone, email and electronic ticketing system.
• Ensuring calls, voicemails, email inquiries are addressed in a timely manner.
• Provide information and assistance to the public at the public window.
• Provide first line assistance to end users and members of the public for applications and services provided by the NYS Board of Elections.
Election & Campaign Finance Support
• Participate in training sessions and meetings to stay up to date with the technologies in use within the agency.
• Provide accurate information regarding election & campaign finance processes and procedures or refer inquires to the proper department.
• Support Information Technology staff with administrative tasks as needed.
Administrative
• Maintain and update records, files, and databases related to elections and campaign finance.
• Perform general office duties such as data entry, filing, and photocopying.
• Respond to FOIL data inquiries using a 3rd party service for data transfer.
• Create and maintain documentation in a knowledgebase that can be used to provide consistent information to end users.
Team Collaboration
• Work closely with other team members to ensure all inquires and tasks are handled efficiently.
• Play a role in shaping end user and public support to streamline business processes.

Minimum Qualifications • Four (4) years of progressively responsible office experience or general business or other related Experience. College or business school studies/training may be substituted in whole/part
Preferred Qualifications:

• Previous experience in a customer service role is preferred.
• Excellent communication and interpersonal skills.
• Ability to handle multiple tasks and work in a fast-paced environment.
• Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
• Strong organizational skills and attention to detail.
• Ability to work independently and as part of a team.
• Commitment to maintaining confidentiality and integrity in all interactions.


Work Environment:
• This position may require occasional evening and weekend hours, especially during election periods.
• The role is in-person.
