Duties Description The Mailroom/Supply Clerk is an essential part of the New York State Board of Elections’ Public Information Office and supports all units within the agency by processing all incoming and outgoing mail each day. The Mailroom/Supply Clerk ensures legal documents including voter registration applications and candidate ballot access documents are delivered in accordance with statutory deadlines.
This job is located in Albany, NY, and is an in-person position. Normal working hours are 9:00am to 5:00pm, Monday through Friday.
Some travel may be required to pick up and drop off mail and packages from the local post office or FedEx during statutory deadline periods.
This position also assists in the management of the state’s National Voter Registration Act (NVRA) program by supporting the NVRA Program Coordinator with shipping, data entry, and supply organization.
A successful candidate for this position must maintain strict confidentiality and discretion when handling sensitive information that may be received or sent via mail. Adherence to agency mail opening safety standards is required.
• Duties include: Process all incoming and outgoing mail for the agency every day, including overnight and express mail.
• Notify other units when mail has arrived daily.
• Operate agency mail equipment and ensure that machines are properly maintained; monitor postage to ensure adequate postage is available for all agency mailings.
• Closely monitor and correct returned shipments.
• Assemble and maintain all voter registration supplies in the agency’s storage area in an orderly and organized manner; ship voter registration forms to county boards of elections and outside entities when requested.
• Using the agency database software designed for compiling voter registration statistics and assisting the NVRA Coordinator, accurately and promptly enter data reflecting voter registration efforts at agency-based registration sites; learn and possess a working knowledge of the NVRA reporting software and be able to recognize and correct statistical inconsistencies.
• Assist the NVRA Coordinator with supply order processing.
• Accurately count and sort DMV address change requests and voter registration cancellations and forward to appropriate county board of elections or out-of-state election officials. Become familiar with the agency's storage area and operations and have the ability to operate storage area equipment such as pallet jacks, freight elevators, and agency transport vehicles.
Support the Public Information Office as needed including assisting in answering phones, responding to public inquiries, and completing unit projects.

Minimum Qualifications • High School diploma or GED
• Ability to lift 50 pounds
• Familiarity with Microsoft Office products
• Strong organizational skills
• Ability to work in person in Albany, NY
• Must possess a valid driver's license to operate a motor vehicle in the State of New York.

An ideal candidate would have exceptional communication skills, the ability to learn quickly and take direction, and be comfortable managing multiple tasks simultaneously. Experience working in person in a professional office setting is highly preferred.
