Duties Description · Responsible for all clerical functions in the Albany Division Facilities.

· Tracking of all of Albany Facilities employees accrual usage.

· Entering Time and Attendance (Kronos, LAM, TAM) for Albany Division Facilities employees.

· Enter Thruway Maintenance Management System (TMMS) data daily entry of employee work project information.

· Preparing requisitions for goods and materials which includes processing and receiving goods and services.

· Responsible for monthly Procurement cards (P-Cards) reconciliation which includes over 38 P-Cards for all Albany Facilities employees.

· Prepare monthly statements and forms for all 38 + P-Cards. Enter P-Card receipts using PCMS, balance checking account statements.

· Receive, store, and distribute inventory supplies for all Facilities sections and includes service areas.

· Responsible for distributing and tracking bulletins, directives, and internal postings on a daily basis for all Facilities sections.

· Answer phones handling daily inquiries from employees, supervisors, Division HQ, Administrative Office, vendors, and other non-Thruway calls.

· Works as a liaison with the Albany Division Administration Office to complete tasks related to administrative, personnel/payroll issues, such as, injury reports, medical documentation, leave of absence requests, lost check inquiries, direct deposit for Albany Facilities employees.

· Coordinates of mandatory training rosters.

· Maintains the flow of paperwork so that Albany Facilities can operate smoothly regarding issues with administrative paperwork and procedures stay functional daily.

· Works on special projects as they arise.

Minimum Qualifications 1. TRANSFER QUALIFICATIONS FOR CURRENT STATE EMPLOYEES:

Current New York State employee with one year or more of qualifying permanent service allocated to a Grade 07 or above and eligible for transfer under Section 70.1 of the NYS Civil Service Law.

2. GENERAL PUBLIC AND/OR NY HELPS MINIMUM QUALIFICATIONS:

One year of clerical experience.

This title is part of the New York Hiring for Emergency Limited Placement Statewide Program (NY HELPS). For the duration of the NY HELPS Program, this title may be filled via a non-competitive appointment, which means no examination is required but all candidates must meet the minimum qualifications of the title for which they apply. At a future date, it is expected employees hired under NY HELPS will have their non-competitive employment status converted to competitive status, without having to compete in an examination. Employees will then be afforded with all of the same rights and privileges of competitive class employees of New York State. While serving permanently in an NY HELPS title, employees may take part in any promotion examination for which they are qualified.

ADDITIONAL PAY INFORMATION:
The salary range for this position includes all applicable annual components of pay which are:
Base Pay Range from Hiring Rate $19.48 up to Job Rate $28.25.
Recruitment & Retention Pay: $3.37.
