Duties Description The Office Assistant 2, Grade 9, will work in the Office of Energy System Planning and Performance (ESPP), with duties including, but not limited to:
• Using various information technology applications such as Microsoft applications, Document & Matter Management (DMM), Statewide Financial System (SFS), Pipeline Audit System (PAS), Smartsheet, and others.
• Answering and directing telephone calls appropriately.
• Greeting visitors or callers; handling inquiries or directing them to the appropriate persons.
• Maintaining calendars and scheduling meetings, appearances, events, and conference calls.
• Completing forms and compiling reports in accordance with agency procedures.
• Ensuring all relevant Office records are maintained and easily accessible.
• Distributing proposed session agendas and other documents appropriately.
• Establishing and maintaining project tracking system for upcoming deadlines.
• Reviewing documents such as draft Orders, placeholder memos, and log letter responses prepared by staff to ensure documents are complete and thorough.
• Operating and maintaining office equipment such as printers, scanners, and copiers.
• Training newly hired support staff.
• Additional relevant duties may be required, as directed.
Minimum Qualifications General Public
Non-Competitive (NY HELPS)**
One year of clerical experience.

**This title is part of the New York Hiring for Emergency Limited Placement Statewide Program (NY HELPS). For the duration of the NY HELPS Program, this title may be filled via a non-competitive appointment, which means no examination is required but all candidates must meet the minimum qualifications of the title for which they apply.
At a future date, it is expected employees hired under NY HELPS will have their non-competitive employment status converted to competitive status, without having to compete in an examination. Employees will then be afforded with all of the same rights and privileges of competitive class employees of New York State. While serving permanently in an NY HELPS title, employees may take part in any promotion examination for which they are qualified.
