Duties Description The successful candidate will provide office support for the Office of Right of Way (ROW). Office Assistant 3 duties include, but are not limited to:

• Responsible for the clerical operation of the Office of Right of Way.
• Perform more difficult or complicated clerical processing and office support work for which substantive knowledge of the program area is required. Currently, office tasks of all levels will be handled regularly in addition to the selected candidate’s paraprofessional work responsibilities.
• Gather, compile, and prepare data from manual or automated files and other sources for various reports, publications, records, or other external or internal communications. This may include specific ROW tasks such as temporary easement terminations, tax pro-rations, acquisition agreement packages, etc.
• Support day to day operational issues and troubleshooting (i.e. phones, fax machine, printer/copier, scheduling car maintenance, IT requests, etc.).
• Answer the telephone and assist with visitors, respond to policy and procedure questions and direct calls and visitors to appropriate staff.
• Prepare draft correspondence concerning program, policies, and procedures for supervisor or employee signature.
• Review forms and applications and make appropriate determinations.
• Assist supervisors in planning, organizing, scheduling, and coordinating work operations.
• Assist with purchase requisitions, purchase orders, change notices, and the processing of bills/invoices by voucher or P-Card using the Statewide Financial System (SFS).
• Assist with personnel matters such as preparing Personnel Transaction Forms and preparing hiring packages.

Strong skills with Microsoft Office Suite are preferred. The candidate must have the initiative necessary to work independently and handle various situations as they arise. Supervisory duties may be assigned, and the successful candidate will be required to attend and complete supervisory training.

Responsibilities may include serving a role within the Incident Command System to support the department’s response to regional and statewide emergency situations.

Minimum Qualifications To be considered for permanent appointment, candidates must be reachable on the current Civil Service eligible list or be eligible for reassignment or transfer in accordance with Civil Service Law.
