Duties Description The Program Aide in PERB’s Office of Administration will perform a variety of professional, technical and administrative duties under the general direction of the Director of Finance.

• Process accounts receivables and enter payments into PERB’s database.
• Provide travel assistance to staff. Enter and track expense reports in SFS.
• Assist with and prepare documents as needed for the annual budget request.
• Purchase general office supplies, equipment, and services. Maintain purchasing records and update order tracking spreadsheet.
• Reconcile credit card transactions.
• Update the agency order request form for frequently needed office supplies.
• Work with vendors to create new accounts, obtain quotes, and ensure all required documentation is provided.
• Receive deliveries; lift packages that may weight up to 40 pounds.
• Review and organize incoming documents from shared Outlook mailbox.
• Work with management to schedule job interviews.
• Process new employee paperwork including I9 forms; assist new staff with onboarding forms and applications.
• Assist staff with SLMS and LATS as needed.
• Set up & track probation reports for new staff; notify supervisors of due dates.
• Enroll staff in mandatory training classes in the Statewide Learning Management System (SLMS).
• Process HCM transactions, as needed.
• Run monthly NYSTEP reports for Executive Director review.
• Act as backup for the Agency Security ID Card Representative to order, pick up and deliver ID badges. Attend system training and assist employees with building access issues.
• Act as backup for the submission of helpdesk tickets to onboard new staff. Ensure timely assignment of computer equipment, as well as the proper association with network files, distribution lists, share drives & accounts.
• Create a system to track assigned equipment, network files, distribution lists, systems access (such as SLMS, SFS, etc.) & other accounts.
• Assist users with equipment, RSA token, applications, log in, Wi-Fi connectivity, etc., as needed.
• As needed, submit offboarding helpdesk tickets and assist in emergency offboarding with ITS Legal Tech team. Ensure assigned IT equipment is returned.
• Liaise with ITS to assist with helpdesk tickets. Follow up on outstanding items as requested.
• Process incoming and outgoing mail as needed.
• Other duties as may be assigned.

Minimum Qualifications NY HELPS
This title is part of the New York Hiring for Emergency Limited Placement Statewide Program (NY HELPS). For the duration of the NY HELPS Program, this title may be filled via a non-competitive appointment, which means no examination is required but all candidates must meet the minimum qualifications of the title for which they apply.

At a future date, it is expected employees hired under NY HELPS will have their non-competitive employment status converted to competitive status, without having to compete in an examination. Employees will then be afforded with all of the same rights and privileges of competitive class employees of New York State. While serving permanently in an NY HELPS title, employees may take part in any promotion examination for which they are qualified.

NON-COMPETITIVE MINIMUM QUALIFICATIONS (NY HELPS):
Three years of experience performing clerical, keyboarding, or paraprofessional work in an office environment.

COMPETITIVE QUALIFICATIONS:
You must be reachable on the current eligible list or eligible for transfer.

70.1 TRANSFER QUALIFICATIONS:
One year of permanent, contingent permanent, or 55 B/C service in a title eligible for transfer and determined to be similar by Civil Service.
