Duties Description According to Civil Service Standards, but particularly: serve as the principal administrative support in the department and secretarial support to the Vice President for Enrollment Management and Marketing on a daily basis. The incumbent would work under broad guidelines, select the best course of action from a number of alternatives, and set your own priorities based on a review of the work to be performed and your knowledge of the program and office procedures. Duties include but not limited to the following:
• Monitor, schedule, update, and maintain appointment calendar(s); organize the incoming correspondence.
• Prepare communications, such as memos, emails, invoices, reports and other correspondence; and produce reports. Forwards email inquiries to appropriate staff.
• Maintain vacation schedule with an online calendar.
• Assists and participate in all enrollment management related events and activities
• Monitor office inventory of supplies, forms, and materials. Maintain office budget on excel and on electronic requisition system for Enrollment Management and Marketing.
• Submit as required Enrollment Management Employee transactions to the Office of Human Resources via applicable systems.
• Coordinate information flow by acting as a liaison among key executives, staff and other employees, and the students for the Office of Enrollment Management and Marketing.
• Create and maintain all office information in database, files, and reports using the various software programs available, such as: process all office purchases and expenditures.
• Coordinate travel arrangements and payment process for recruitment activities and conferences; and manage the office monthly report.
• Supervise student assistants and performs special projects as deemed necessary by the Vice President for Enrollment Management and Marketing and performs other related as required.
Minimum Qualifications Promotional - A current NYS employee who is reachable on the appropriate Administrative Assistant 2 promotional list.
Additional Comments The successful candidate must be authorized to work in United States. In addition to the annual salary, this position is eligible to receive $4,000.00 downstate location pay. Different hours may be required from time to time to meet the operating needs of the College.
