Duties Description Reporting to an Administrative Officer 1 in Regional Headquarters, the incumbent of the Administrative Specialist 1 duties include, but are not limited to:
• Administers payroll processing
• Administers hiring, onboarding, promotion, offboarding processes and transactions.
• Functions a liaison between NYC Regional Office and Albany for all employee personnel transactions
• Processes line changes of seasonal staff.
• Administers benefits by Negotiating Unit:
o Receives and responds to inquiries on phone and in person daily
o FMLA
o Health insurance
o Retirement benefits
• Audits time accruals, notifies supervisors of seasonal employes Time and Attendance eligibility.
• Manages regional timekeeping, ensures compliance and timely completion of payroll.
• Maintains employee records.
• Manage new hire orientation of both Seasonal and Annual staff.
• Coordinates with Main Office Diversity and Inclusion, ADA/RA related matters.
• Conducts exit interviews.
• Assists with the implementation of policies related to employee issues, disputes, violations of employee conduct
• Manages Regional ARS (Workers Compensation).
• Serves as backup for front desk coverage.
Minimum Qualifications To be considered for permanent appointment, candidates must be reachable on the current Civil Service eligible list or be eligible for reassignment, transfer, or reinstatement in accordance with Civil Service Law.
Additional Comments OPERATING NEEDS:
• Must be detail-oriented with a proven capacity to multitask, with a high standard for accuracy and accustomed to working in a team environment and work independently as needed with set priorities.
• Must possess effective communication skills and have the ability to understand written and/or verbal material and instructions.
• Must possess strong interpersonal skills and be a self-starter and maintain confidentiality.
• The candidate must be proficient in Microsoft Office applications as well as be proficient with Apple products.
• Must be willing to support additional tasks and projects as assigned by the Regional Office.
• Must be willing to occasionally support tasks and projects at other work sites in the New York City Region.
• Must be able to work a minimum of 37.5 hours a week, Monday through Friday, and possibly extended weekday hours as needed.
• Fluency in Spanish preferred.
DOWNSTATE ADJUSTMENT: $4,000
