Duties Description The Stores and Mail Operations Supervisor duties in Bureau of Administrative Support Services will include but are not limited to the following:
• Assign and schedule daily tasks to staff to ensure adequate coverage and the orderly and timely pickup, processing, delivery and storage of mail and supplies.
• Assist in completing staff evaluations and performance reports; discuss work related problems and deficiencies with employees and provide advice and direct corrective action.
• Ensure staff are properly trained on operating postage machines, moving equipment, proper lifting techniques and office procedures.
• Operate and perform basic maintenance of offices machines and equipment.
• Monitor postage fund balance.
• Supervise the receipt of all incoming shipments, storage, and issuance of goods against documentation.
• Perform warehouse and stockroom inventory, replenish stock as needed.
• Coordinate warehouse appointments.
• Confer with representatives from USPS, OGS, contracted mailing service providers, and express mail carriers to resolve service and billing issues and coordinate services.
• Work with various divisions on special mailing projects.
• Coordinate furniture and small office moves, participate in agency restack and relocations.
• Oversee assembly, disassembly and/or modifications to modular furniture systems, as well as the maintenance and repair of furniture.
• Coordinate the maintenance of fleet vehicles.
• Operate a motor vehicle - valid NYS driver license required.
• Travel as needed to locations statewide.
• Perform other duties as necessary.
Minimum Qualifications COMPETITIVE MINIMUM QUALIFICATIONS:
CIVIL SERVICE LIST APPOINTMENT: Candidates must be reachable on the appropriate Civil Service eligible list.
TRANSFER QUALIFICATIONS: Permanent service in this title or one year of permanent competitive or 55-B/C service in a title SG-10 or higher and otherwise eligible for transfer under Civil Service Law.

PROVISIONAL QUALIFICATIONS: Based on the results of the canvass of the current eligible list for the Stores & Mail Operations Supervisor, the Department may elect to make a provisional appointment to this position rather than a permanent appointment. If a provisional appointment is made, the appointed candidate will be required to compete in the next holding of the Stores & Mail Operations Supervisor exam and be reachable for appointment from the newly established eligible list.
The minimum qualifications for Provisional appointment are:
One year of permanent, contingent permanent, or 55 B/C service as in a clerical, keyboarding, or paraprofessional title* allocated to Grade 7 or higher.

52.7 NON-COMPETITIVE PROMOTION (NCP): In accordance with Section 52.7 of the Civil Service Law, if the number of qualified candidates who apply for the position is three or less, a permanent appointment can be made, at agency discretion, by non-competitive promotion of an applicant who meets the minimum qualifications. To qualify, you must be a current Department of State employee and have one year of permanent, contingent permanent, or 55 B/C service as an Office Assistant 2 (Stores/Mail).
Note: Non-Competitive refers to not competing in an examination; the appointment will be competitive.
PREFERRED QUALIFICATIONS:
• Strong supervisor experience.
• Experience managing stockroom inventory.
• Stockroom order fulfillment experience.
• Mail postage machines experience.
• Computer skills with MS Office Suite
• Valid NYS Drivers License.

Positions located within the New York City metropolitan area, as well as Suffolk, Nassau, Rockland, and Westchester Counties, are also eligible to receive an additional $4,000 annual downstate adjustment. OR
Positions located within Orange, Dutchess and Putnam are also eligible to receive an additional $2,000 Mid-Hudson adjustment.
For new State employees appointed to graded positions, the annual salary is the hiring rate (beginning of the Salary Range) of the position. Promotion salaries are calculated by the NYS Office of the State Comptroller in accordance with NYS Civil Service Law, OSC Payroll rules and regulations and negotiated union contracts.
