Duties Description Under the direction of the Office of Public Employment Practices Representation the incumbent will independently provide administrative support to the division.
Duties include but are not limited to:
• Answer phone, greet visitors, operate office equipment, maintain office scheduling, coordinate meetings, research information, contribute to committee work, create conference material.
• Work closely with division staff to process incoming improper practice and representation matters.
• Handle time-sensitive tasks in an efficient and timely manner.
• Review work done by others to check for proper spelling, grammar, formatting and recommend revisions when necessary.
• Alert manager to basic procedural deficiencies.
• Participate and contribute to committee work.
• Prepare, proofread, and disseminate correspondence to Division clientele.
• Screen incoming phone calls, explain deficiencies and successfully resolve issues.
• Act as a professional liaison with clientele in all matters related to the Division.
• Enter case related information into Access Database or other case management system.
• Open, read, route, and distribute incoming mail or other materials.
• Coordinate travel arrangements for division staff and prepare travel reimbursements and reconciliations via the Statewide Financial System (SFS)
• Establish and maintain effective working relationships with staff at all levels within the organization.
• Other administrative duties as assigned.
Minimum Qualifications Promotion: Candidate must be on the appropriate Civil Service eligible list for this title at this location; or,
Transfer Opportunity: Candidates must be employed by New York State and have permanent status as an Administrative Assistant 2, Grade 15, and be eligible for lateral transfer; OR be eligible to transfer via Section 70.1 of the Civil Service Law by having at least one year of permanent service in a qualifying title. Preferred Qualifications:
Knowledge and understanding of NYS Labor Law (Taylor Law); experience rendering direct administrative assistance to lawyers, courts, and administrative law judges; the ability to run reports from a variety of database systems. Excellent judgement skills and the ability to handle sensitive matters with confidentiality.
