DUTIES:
The Office Assistant Stores/Mail duties in Bureau of Administrative Support Services will include but are not limited to the following:
• Incumbent is responsible for a variety of duties necessary for the operation of the agency’s mailroom
• Supervise support mailroom staff; plan the day's work schedule and delegate tasks with specific instructions
• Provide customer service and clerical support. Greet visitors and allow mailroom access to authorized individuals
• Sort, distribute and deliver mail
• Communicate with agency staff, vendors, shippers and other parties
• Receive, unload, sort, distribute and deliver supplies
• Maintain stockroom storage area, stock shelves, perform stockroom and warehouse Inventory, maintain spreadsheets
• Assess the need for ordering supplies based on inventory levels and enter purchases into the Statewide Financial System
• Operate, and perform basic maintenance on office machines and equipment
• Train new staff in mailroom procedures
• Occasionally operate a vehicle to pick up and deliver mail
• Must be willing to travel to regional offices by train or vehicle, occasional overnight stays
• Other duties as assigned

Minimum Qualifications NON-COMPETITIVE MINIMUM QUALIFICATIONS:

NY HELPS:
This title is part of the New York Hiring for Emergency Limited Placement Statewide Program (NY HELPS).

For the duration of the NY HELPS Program, this title may be filled via a non-competitive appointment, which means no examination is required but all candidates must meet the minimum qualifications of the title for which they apply.

At a future date, it is expected employees hired under NY HELPS will have their non-competitive employment status converted to competitive status, without having to compete in an examination. Employees will then be afforded with all the same rights and privileges of competitive class employees of New York State. While serving permanently in an NY HELPS title, employees may take part in any promotion examination for which they are qualified.

The minimum qualifications for Non-Competitive appointment are:

One year of experience where most work time is spent performing activities related to mail receipt, mail distribution, storage, and/or stores keeping.

55 B/C APPOINTMENT:
This position is eligible for 55B/C designation and candidates with 55B/C eligibility are encouraged to apply. Candidates must meet any open competitive minimum qualifications and must submit their current 55B/C eligibility letter along with their application.

COMPETITIVE MINIMUM QUALIFICATIONS:

CIVIL SERVICE LIST APPOINTMENT:
Candidates must be reachable on the appropriate Civil Service eligible list.

TRANSFER QUALIFICATIONS:
One year of permanent, contingent permanent, or 55-B/C service in a title SG-6 or higher and otherwise eligible for transfer under Civil Service Law.

PROVISIONAL QUALIFICATIONS:
Based on the results of the canvass of the current eligible list for the Office Assistant 2 Stores/Mail the Department may elect to make a provisional appointment to this position rather than a permanent appointment. If a provisional appointment is made, the appointed candidate will be required to compete in the next holding of the Office Assistant 2 Stores/Mail exam and be reachable for appointment from the newly established eligible list.

The minimum qualifications for Provisional appointment are:

One year of permanent, contingent permanent, or 55 B/C service as an office assistant, clerical, or keyboarding title allocated to Grade 6 or higher. Qualifying titles are available at:

Positions located within the New York City metropolitan area, as well as Suffolk, Nassau, Rockland, and Westchester Counties, are also eligible to receive an additional $4,000 annual downstate adjustment.

Promotion salaries are calculated by the NYS Office of the State Comptroller in accordance with NYS Civil Service Law, OSC Payroll rules and regulations and negotiated union contracts.
