Duties Description The Office of Mental Health (OMH) is recruiting for an open Office Assistant 2, G-9, position in the Office of Financial Management, Consolidated Business Office Operations Unit. The Consolidated Business Office's (CBO) Business Systems Support Unit is responsible for the collection, analyzations, and disseminating data from various sources in order to assist with business processes throughout the Office of Mental Health.

Under the direction of the State Operations Finance Group, Business Systems Analyst 1, the Office Assistant 2 provides a key role in maintaining overall productivity and efficient workflow in the office.

Specific duties may include, but are not limited to, the following:

• Maintain and monitor shared mailboxes in Outlook, by assigning, distributing, and filing emails. Provide responses within 24 hours, most responses should be within 2 hours.

• Provide systems and technical support for various units.

• Perform simple office machine maintenance and repair tasks such as
removing paper jams, cleaning/adjusting machine components, and replacing
toner cartridges.

• Create, run, and maintain all necessary reports as needed and prepare for
distribution.

• Assist in creating and maintaining the CBO’s public space (HUB, SharePoint,
Teams, OneNote) Ensure the availability of current information for CBO, Program &
Facility staff.

• Develop and/or maintain computer programs (i.e. Access, Excel) as well as
various form shells utilized by management and/or staff.

• Perform miscellaneous duties in support of the CBO mission as assigned.

Minimum Qualifications Non-Competitive HELPS Opportunity: One year of clerical experience.

Transfer Opportunity: Candidates must have permanent status as an Office Assistant 2, Grade 9, and be eligible for lateral transfer, OR be eligible for transfer via 70.1 of the Civil Service Law.

Additional Comments The Consolidated Business Office is conveniently located in independent offices on the grounds of the Capital District PC at 75 New Scotland Avenue, Albany, New York. Free parking is available across the Street.

This title is part of the New York Hiring for Emergency Limited Placement Statewide Program (NY HELPS). For the duration of NY HELPS, this title maybe filled via a non-competitive appointment, which means no examination is required but all candidates must meet the minimum qualifications of the title for which they apply.

At a future date, it is expected that employees hired under NY HELPS will have their non-competitive employment status converted to competitive status, without having to compete in an examination. Employees will then be afforded with all of the same rights and privileges of competitive class employees of New York State. While serving permanently in a NY HELPS title, employees may take part in any promotion examination for which they are qualified.
