Duties Description The New York State Office of Mental Health (OMH) is recruiting to fill an Administrative Assistant 2, G-15, position within the Office of Quality Improvement (OQI). Under the general direction of the Associate Commissioner MH, the Administrative Assistant 2 will ensure continuity of operations and provide centralized administrative support across the office. OQI is responsible for statewide quality and compliance oversight of 24 state operated psychiatric centers, over 500 providers, and approximately 1,800 OMH-licensed mental health programs through its four bureaus, and coordinates executive-level initiatives involving quality improvement, regulatory oversight, incident management, provider monitoring, interagency collaboration, and executive leadership communications.
Specific duties include, but are not limited to, the following:
• Provide high-level administrative support to the Associate Commissioner and Bureau Directors, including managing calendars, coordinating events, and organizing meetings by securing space, managing invitations/registrations, and preparing agenda and meeting materials.
• Provide primary administrative support to the Bureau of Clinical Risk Management (CRM) whose work often involves time-sensitive incident correspondence, case assignment, and coordination with external oversight entities as operational needs arise.
• Support the remaining three bureaus as operational needs arise to ensure consistent administrative coverage, including phones, mail, distribution lists, and timely dissemination of correspondence.
• Facilitate onboarding and offboarding process for staff including coordination building access, ID badges, workspace preparation, coordinating ITS and technical support.
• Serve as the primary contact for State Financial System (SFS) processing. Manage contract staff timecards, travel expenses, purchase orders, and consolidate SFS wallets.
• Oversee the procurement of office supplies and maintenance of equipment including designated vehicle fleet in all aspects.
• Maintain, update, and monitor critical office trackers. Coordinate document archiving process with the record warehouse, as needed.
• May supervise lower-level staff.
• Perform other operational and administrative duties as assigned to support efficient office operations.
Minimum Qualifications Candidates must be employed by New York State to be eligible to apply for this position.
Candidates must be currently reachable on the appropriate eligible list for this title or eligible to transfer to this title under Section 52.6 of the Civil Service Law.
Transfer Opportunity:
Candidates must have permanent status as an Administrative Assistant 2 and be eligible for lateral transfer; OR be eligible to transfer via Section 70.1 or Section 52.6 of the Civil Service Law by having at least one year of permanent service in a qualifying title within two salary grades or one M-grade of this position.

In order to be eligible for a non-competitive promotion examination, candidates must be employed by the Office of Mental Health, Central Office and have one year of permanent competitive or 55-b/55-c service as a(n) Administrative Assistant 1, Administrative Assistant 1 (French Language), Administrative Assistant 1 (Russian Language), Administrative Assistant 1 (Spanish Language), Examination Composition Assistant, Law Department Document Specialist, Office Assistant 2-Keyboarding, Office Assistant 2-Keyboarding (Spanish Language), Secretary 1, or Secretary 1 (Spanish Language).
