Salary RangeFrom $55802 to $68351 Annually
Minimum Qualifications Current New York State employees with one year or more permanent, contingent-permanent or 55b/c service as an Administrative Assistant; OR current New York State employees with one year or more of permanent, contingent-permanent or 55b/c service in a position allocated to a Grade 13 and above and eligible for transfer under Section 52.6, 70.1, or 70.4 of the Civil Service Law.
New York State employees with current standing on the Professional Career Opportunity (PCO) eligible list with the score of 100 are encouraged to apply. Successful completion of two year traineeship leads to appointment as an Administrative Assistant, SG-18.

Duties Description Liaison with the NYS Office of General Services, the Business Services Center (BSC), NYS Office of Minority, Women and Black-Owned Enterprise (MWBE) and NYS Division of the Budget (DOB) to ensure that all administrative and budgetary items are addressed and managed in accordance with appropriate state guidelines.
Manage and coordinate purchasing for all DVA offices and reconciliation of monthly credit card invoice for DVA. Hold the State Procurement card and use appropriately. Act as Credit card administrator. Process Purchase Requisitions through SFS.
Assist in preparing DVA's submissions for annual reports and budgetary requests. Create a first draft of requested materials and provide detailed information as requested.
Act as liaison to OGS Budget Unit concerning spending plan and cash ceiling adjustments. Process B1184s. Keep up to date on spending, cash ceiling and annual budget appropriations.
Liaison with NYS OGS Human Resources (HR) and the Business Services Center (BSC) so that matters are addressed properly including classifying, recruitment, performance evaluations, travel cards, on-boarding, counseling and disciplinary documents are processed in the designated time frames and are completed accurately in conjunction with host agencies. Act as Security i.d. cards representative.
Personally provide or direct DVA staff members to the appropriate source for information about benefits, retirement, Worker's Compensation, FMLA and payroll.
Liaison with OGS Fleet Services regarding DVA state vehicles. Check monthly logs from travelers. Distribute gas cards, keep track of monthly invoices from repair and maintenance vendor.
Maintain inventory of equipment statewide, excluding IT items administered by ITS. Respond to requests for postage supplies from East and West regional offices. Ensure annual expenditures for equipment maintenance and IT support are paid.
Manage supplemental burial program and fallen service members letters.
Additional Comments Accreditation by the Department of Veterans’ Affairs, through the New York State Division of Veterans’ Affairs, as an “agent” pursuant to Section 38C.F.R.§14.629 is necessary for continued employment.
