Minimum Qualifications Candidates must have permanent appointment in an Secretary 1, SG 11, NY State classified position (or be eligible for transfer) or be reachable for appointment on the current NY State Civil Service eligible list for Secretary 1, Full Time - Brockport location.
Duties Description Position Summary:
Supports the Department of Education and Human Development.
Essential Functions:
•Answers calls, emails and in person inquiries regarding general program question, and refers to appropriate faculty/staff when required.
•Updates the Education and Human Development (EHD) website at registration times and as needed by the department.
•Assists in hiring graduate assistants. Reviews applications, participates in interviews, and performs clerical duties as necessary.
•Creates Banner images of all department forms, correspondence, and important emails as appropriate.
•Edits and maintains all department MachForms.
•Manages Undergraduate and Graduate Excel lists (tracks advisee loads, plans of study for class forecasting, alumni list etc.).
•Updates Conditions and Program Evaluation spreadsheets for the coordinator of EHD advisement.
•Sends graduation and registration reminders to graduate and undergraduate students.
•Sends faculty reminders out prior to each new semester (EHD Digital Advising Guide, EHD Advisor Document Processing Guide).
•Emails appropriate scanned forms to Registration and Records or The Center for Graduate Studies as appropriate.
•Updates/edits all program letters and program advertisement materials as needed.
•Runs Forms Banner reports for graduated students and updates Excel workbooks as necessary.
•Sends email blasts to EHD student groups as directed.
•Receives PKNs from the department chair, and disperses them to appropriate faculty and graduate assistants for each student registration period.
•Continues Think About Teaching recruitment efforts via Think About Teaching email.
Undergraduate:
•Processes new undergraduate applicants and sends decision letters.
•Sends undergraduate academic status letters.
•Charges certification fees to student accounts when enrolled.
•Adds certification programs to student curriculum when enrolled.
Graduate:
•Processes new graduate deposited students and sends orientation letters.
•Assigns graduate advisors to each student in Forms Banner.
Preferred Qualifications:
•Detail and process oriented, excellent organization skills.
•Website Management experience.
•MachForms experience.
•Proficient in Mail Merge, Microsoft Excel.
•Forms Banner experience.
