Minimum Qualifications Candidates must be employed by New York State to be eligible to apply for this position.

Candidates must have permanent status as an Office Assistant 2, Grade 9, and be eligible for lateral transfer; OR be eligible to transfer via Section 70.1 of the Civil Service Law by having at least one year of permanent service in a qualifying title within two salary grades of the Grade 9 level.

Duties Description The Office of Mental Health (OMH) is recruiting to fill an Office Assistant 2, Grade 9, position in the Division of Forensic Services, Bureau of Institutional and Transitional Services (BITS). Pursuant to Criminal Procedure Law (CPL) and Sections 330.20 and 730 which deal with defendants found Not Responsible for Criminal Conduct due to Mental Disease or Defect and persons found incompetent to stand trial, the incumbent of this position will provide clerical support to the Bureau Director of BITS and professional staff within the bureau. Specific duties to be performed may include, but are not limited to, the following:

Assist bureau staff members in processing court applications for CPL 730 and 330 patients.

Prepare and edit draft correspondence from patients, family members, outpatient service providers, and legal entities.

Ensure that all records are received, processed, and scanned into the Bureau’s electronic record systems, FORTS and MHARS.

Create, organize and maintain Bureau files.

Open, sort and distribute mail to Bureau staff.

Photocopy, scan documents and mail records.

Generate reports for Bureau management.

Process and dispose of confidential information consistent with use and dissemination agreements.

Provide phone coverage, as needed.
