Minimum Qualifications Current NYS employee with one year or more of permanent or contingent-permanent, competitive service as a Secretary 1, OR a NYS employee with one year or more of permanent or contingent-permanent, competitive service in a position allocated to a salary grade 9 or above and eligible for transfer under Section 70.1 of the Civil Service Law.
The preferred candidate would have excellent communication, analytical and organizational skills. Experience with Microsoft Word, Excel SharePoint and Outlook. Ability to work independently in a fast-paced environment and prioritize multiple assignments.
Duties Description The Secretary 1 position will be assigned to the Division of Nutrition Director’s office providing complex secretarial and administrative support to staff including the Director and two Associate Directors. This Secretary 1 will work together with other administrative professionals throughout the Division to ensure consistent, high quality support for program activities. The Secretary 1 will collect and summarize material from various program areas to present to Division leadership in response to high profile, time sensitive requests from Executive staff. This includes assembling and formatting correspondence, reports, forms, charts and other materials producing final copies that are accurate and grammatically correct. This position is responsible for the receipt, triage, logging, and follow up of a large volume of incoming and outgoing materials requiring Division level approval including general review for completeness and accuracy before being routed. The Secretary 1 may assist with personnel management tasks including maintaining staff rosters, organizational charts, distribution lists, space planning, consultant timesheet/invoice/voucher tracking, etc. Other routine duties include monitoring email and calendars, scheduling meetings, preparing meeting materials, coordination of travel, scanning confidential documents and providing support for the main telephone line. This position may supervise other clerical staff.
Additional Comments Contingent-Permanent, Full-time. Transfer candidates not currently serving in a keyboarding title will be required to take and pass a keyboarding examination to qualify for appointment.
