Minimum Qualifications Candidates must be employed by New York State to be eligible to apply for this position.
Candidates must have permanent status as a Secretary 1, Grade 11, and be eligible for lateral transfer; OR be eligible to transfer via Section 70.1 of the Civil Service Law. In order to be eligible for a 70.1 transfer, candidates must have one year of permanent competitive or 55-b/55-c service in a qualifying Grade 9 to 13 title. Candidates who are not transferring from a keyboarding title must possess adequate keyboarding skills (i.e., the ability to type 30 words per minute with at least 96% accuracy) as demonstrated by passing the Keyboarding Performance Test.
Duties Description The Office of Mental Health (OMH), Office of Diversity Management, is recruiting for a Secretary 1, Grade 11. The Office of Diversity Management is responsible for investigating discrimination complaints, administering and monitoring OMH programs and initiatives related to Equal Employment Opportunity (EEO), reasonable accommodations for employees with disabilities, affirmative action, and diversity in employment throughout OMH. The incumbent will provide secretarial and administrative support to the Office Director as well as professional staff.
Specific duties include, but are not limited to, the following:
Manage and coordinate office functions and procedures.
Interact in person, by phone, mail and e-mail with a variety of individuals concerning Office activities and projects.
Review incoming correspondence and reports to determine their significance; prepare responses for supervisor review.
Respond to questions or refer complex issues to appropriate staff.
Collect and store critical milestone data to track discrimination complaint process compliance and the reasonable/religious accommodation process.
Handle incoming telephone calls or refer calls to appropriate staff.
Schedule and set up meetings and conferences.
Make travel arrangements and process travel vouchers.
Prepare presentation materials for the annual statewide training session.
Serve as liaison between OMH divisions.
When necessary, accompany Division Director to nearby hospital to assist with meeting minutes.
Fulfill other support duties, as assigned.
