Minimum Qualifications Candidates must have permanent appointment in an Office Assistant 1 (Keyboarding) NY State classified position (or be eligible for transfer) or be reachable for appointment on the current NY State Civil Service eligible list for Office Assistant 1 (Keyboarding), Full Time - Brockport location.
Duties Description Position Summary:
This position supports the Service Center's daily operations.
Essential Duties:
Greets visitors, answers telephones, and responds to e-mail inquiries for the Facilities and Planning Service Center operation.
Enters data maintenance work orders into various Facilities and Planning computer programs. Programs to include, but not limited to, Footprints, Maximo, MS Word, Excel and Access.
Communicates Facilities and Planning operating requirements with others, face-to-face, by telephone, and/or e-mail.
Prepares forms, correspondence, memorandums, documents, etc., in accordance with agency, SUNY and/or New York State guidelines.
Organizes material and prepares data into forms, charts and other documents as per agency, SUNY and /or New York State guidelines.
Receives and processes campus requests. Places orders with vendors and processes monthly billing.
Accesses automated campus reservation system. Obtains, checks for completeness and distributes new reservations within 24 hours, and distributes to appropriate Facilities and Planning staff.
Preferred Qualifications:
Communicates information clearly, accurately and politely by telephone or in person.
Has prior facilities, campus or similar experiences.
Has basic knowledge of Facilities and Planning terminology.
Is dependable and reliable, including time and attendance.
Is proactive, detail-oriented and organized.
Has knowledge of Access, Excel, Word and campus e-mail/calendar system.
Has good interpersonal skills, ability to work with others/team - customer service attitude.
Is ability to work with members of diverse college community in a professional manner.
