Preferred candidates will have excellent oral and written communication skills; organization and time management skills; proficiency with Microsoft Word and Excel; the ability to effectively manage multiple priorities; and strong attention to detail. This position requires intricate knowledge of the Department’s structure, hierarchy and standards, as well as the ability to make ad hoc, independent decisions, impacting high-level interpersonal communications, on a Department-wide basis.
Duties Description The Administrative Assistant/Trainee will provide overall professional administrative support for staff within the Division of External Affairs. The responsibilities will include, but not be limited to: assigning, tracking, and monitoring correspondence and work assignments through an electronic tracking database (InterTrac); overseeing and proofreading data entry from support staff; editing of draft, high-level correspondences that require senior staff review and approval; liaising with Department staff to resolve correspondence issues/problems, both verbally and in writing; triaging calls and response to constituent issues that may not have been successfully addressed by program; independently reviewing, processing and directing external referrals; assisting with the preparation of reports, as well as analysis of retrieved data, from information housed in the database; recommending and implementing process improvements to increase efficiencies; providing training to new database users; and identifying and maintaining supply and equipment needs.
