Minimum Qualifications
Reachable for appointment on the Civil Service eligible list
OR
One year of permanent competitive service as a Secretary 2 or eligible for transfer via Section 70.1 of Civil Service law.
Duties Description Manage office and supervise clerical/secretarial staff.
Organize the flow of paper in the office.
Develop, maintain and update office procedure manuals.
Monitor and track status of office activities
Review incoming correspondence and draft responses where appropriate.
Review outgoing correspondence for grammar, spelling, etc.
Delegate assignments to staff and conduct follow-up.
Handle telephone calls and visitors and respond to questions.
Coordinate and arrange meetings.
Design office filing systems (including electronic).
Resolve day-to-day operational problems.
Coordinate information flow by acting as liaison among key executives, staff, other employees, and the public.
Additional duties will be discussed in detail during the interview.
Additional Comments High proficiency in Microsoft Outlook (specific to scheduling), Word, Excel, and Access with the ability to manage changing priorities in a fast-paced office environment preferred.
