Minimum Qualifications Candidates must have permanent appointment in an Secretary 1, SG 11, NY State classified position (or be eligible for transfer) or be reachable for appointment on the current NY State Civil Service eligible list for Secretary 1, Full Time - Brockport location.

Duties Description Position Summary:

Provides support for Director of Marketing, VP for University Relations, Associate Director of Marketing and Associate Director of Communications.

Essential Functions:

Initiates and accurately processes all requisitions and credit card purchases, monitors payment and receipt of material, and conducts monthly reconciliations.
Enters, tracks, maintains job requests received in the department, and tracked through an online system, currently Footprints. Assists with the tracking of web related jobs, as well.
Reviews and edits material for proper grammatical usage, clarity, factual correctness, and adheres to Brockport style guide.
Reconciles and assists with the approvals of vendor invoices, including those for department expenses and advertising campaigns.
Creates and maintains the office budget spreadsheet, making sure that it is up-to-date and matches the SUNY SMRT System and marketing plan.
Arranges meetings, makes room reservations, takes minutes as required, arranges catering, arranges photo shoots, and makes travel arrangements.
Acts as initial point of contact for the office and guide questions/requests to the appropriate staff member as needed.

Preferred Qualifications:

Possesses excellent writing, editing, and communication skills.
Has strong computer skills including, but not limited to, Microsoft Word and Excel, Footprints and SMRT. If skill set isn’t immediately available, must demonstrate the desire to learn.
Has strong organizational skills and multi-tasking skills.
Is able to make quick decisions with certainty and confidence, and field questions from internal and external sources without hesitation.
Is able to work effectively with faculty, staff and students.
Excellent communication and interpersonal skills.
Is able to maintain confidentiality.
Works well independently and in group setting.
Demonstrates initiative.
