Minimum Qualifications Interested candidates must be reachable on the Secretary 1 eligible list or eligible to transfer under Section 70.1 of the Civil Service Law.
To be eligible to transfer under Section 70.1, candidates must have one year of permanent, competitive service in a qualifying title allocated to a salary grade 9 or higher. If the applicant is not currently in a title that requires having passed a typing proficiency exam, or has not previously held a keyboard or secretarial title, the candidate must take and pass a typing proficiency exam to qualify for transfer.
Duties Description •Prepare and manage legal documents.
•Edit, proofread and review documents, both legal and technical.
•Maintain paper and electronic files (including case initiation and closure and archival of case files).
•Maintain litigation calendars.
•Coordinate experts and expert witness procurement, depositions, court reporters, and court filings (paper and electronic).
•Maintain the citizen complaint log and assist with library maintenance and updates.
•Produce and manage agency correspondence.
•Schedule meetings, videoconferences, and conference calls.
•Provide, as needed and not limited to, telephone coverage, mail distribution, supply ordering.
•Manage inquiries and their referral to appropriate staff.
•Make travel arrangements, obtain approvals and prepare vouchers.
•Provide direct assistance to and back-up of the Administrative Specialist including, but not limited to: on-/off-boarding of staff, monitoring the Court Call account, managing temporary I.D. badges, and maintaining telephone equipment and Bureau templates.
•Interface with essential database systems, particularly, Oracle-based NYMatters and Paper Archive Management.
•Perform additional duties as assigned.
