Minimum Qualifications Candidates must have permanent appointment in an Secretary 1, SG 11, NY State classified position (or be eligible for transfer) or be reachable for appointment on the current NY State Civil Service eligible list for Secretary 1, Full Time - Brockport location.

Duties Description Position Summary:

Incumbent will administratively support activities associated with the daily operations of the Department of Environmental Science and Ecology. 

Essential Functions:

Works directly with the Chair of the Department of Environmental Science and Ecology in the day-to-day functioning of the office; organizes and maintains files; manages record keeping, property and key control, and general correspondence.  Accesses the College online resources such as BANNER and BI; gathers necessary information for scheduling classes and manages the budget.
Assumes primary responsibility for ensuring that departmental products are produced in a timely and accurate manner.
Tracks status of undergraduate majors and minors; assigns advisors; maintains database of alumni.
Serves as primary contact for internal and external department audiences; arranges tours for prospective students; prepares and distributes department newsletters; serves as central contact for Lennon Hall; corresponds with prospective students; prepares and distributes recruitment materials; and maintains department bulletin boards.
Prepares necessary paperwork for faculty appointments, extra-service appointments, and honoraria for guest speakers, travel reimbursements, catering contracts for in-service events, equipment and supply purchases, service contracts and equipment repairs.
Handles academic/non-academic obligations - prepares student evaluation packets (IAS forms), collects and files course syllabi, and distributes mail.
Supervises Work Study students. Hires and trains new workers each year; delegates office responsibilities among students and supervises their work; handles the processing of their time sheets.
Orders forms, copier and printer paper, stationery and other office supplies; orders supplies and equipment for teaching and research activities.  Troubleshoots copier, printer, poster printer, and fax problems and requests repair service of copier and printers.
Manages van and auto reservations for field trips and other departmental activities.
Assists Chair of the Department of Environmental Science and Ecology and search committee chairs with faculty and professional searches.
Organizes routine maintenance.

Preferred Qualifications:

Has experience and/or strong interest in working in an academic environment with faculty and students.
Has knowledge of Blackboard, Banner and SUNY BI Financial Systems.
Possesses excellent interpersonal communication skills (in-person, on the phone, in writing) to effectively manage faculty, students and various community inquiries.  Position requires patience, diplomacy, tact and attention to detail.
Has excellent organizational skills; ability to prioritize work, work independently, multi-task and meet deadlines.
Has strong computer/word processing skills.  Ability to use Microsoft office (Word, Excel, Outlook, etc.) as well as other software as needed.
Has previous supervisory experience/skills.
