Minimum Qualifications Permanent service in this title, or one year of permanent competitive or 55 b/c service in a title SG-9 or higher and otherwise eligible for transfer under Civil Service Law. Candidates on the eligible list will be considered, and need not apply to this posting.

Preferred Qualifications: Proficiency with Microsoft Office Suite and Adobe Acrobat; experience entering and managing data in spreadsheets with a high degree of accuracy; ability to multitask and deal with shifting priorities; and excellent organizational, time management, and communication skills.

Duties Description The Secretary 1 will be assigned to the Office of Forensic Services and will provide administrative and secretarial support to the Director, as well as all other office staff in the day-to-day operations of the unit managing the administrative operations of the NYS DNA Databank and the NYS public forensic laboratory accreditation program.

The incumbent will manage day-to-day scheduling for the Director and office staff. Furthermore, the incumbent will coordinate logistics for a wide range of meetings, trainings, and board meetings which are conducted year-round by OFS throughout the State. This includes securing venues, approving travel plans, and processing a high volume of travel vouchers in accordance with State and Agency guidelines.

The Secretary 1 will also be primarily responsible for receiving, tracking, and routing all incoming as well as outgoing correspondence, which may be via postal mail, inter-agency mail, fax, telephone, and email. Understanding how to appropriately route and respond to correspondence will require the incumbent to possess both considerable familiarity with office operations and the ability to operate with a high degree of autonomy. The Secretary 1 will be charged with the development and maintenance of office-wide tracking and filing systems. OFS is committed to transitioning towards paperless recordkeeping and the Secretary 1 will be expected to assist in digitizing and organizing files.

Additional duties and special projects may be assigned, as necessary and appropriate.
