Minimum Qualifications MINIMUM QUALIFICATIONS:
Open Competitive: Candidates must be reachable on the current Civil Service Eligible List.
Transfer: Candidates must have permanent competitive status in the posted title and be eligible for lateral transfer; OR be eligible to transfer via Section 70.1 of Civil Service Law.
PREFERRED QUALIFICATIONS:
• Ability to manage changing priorities in a fast-pace office environment;
• Strong organizational skills;
• Attention to detail;
• Excellent communication skills;
• High proficiency with Microsoft Outlook, Word, Excel and Access and Statewide Financial System (SFS);
• Strong knowledge of professional correspondence formatting;
• Ability to proofread and edit all correspondence prepared for signature
• Desire to contribute to a team-oriented workplace;
• Strong interpersonal skills.
Duties Description POSITION DESCRIPTION:
The Office of Employment and Meaningful Community Activities within the Division of Person Centered Supports is seeking a permanent Office Assistant 1 (Keyboarding) to support the functions of the unit including office support and clerical work.
PRIMARY DUTIES AND RESPONSIBILITIES:
Job Duties include but are not limited to the following:
• Process requests for provider funding approvals;
• Create and maintain databases, spreadsheets and mailing lists;
• Manage provider directories and technical assistance mailboxes;
• Establish and maintain tracking system for deadlines and follow-up;
• Draft correspondences for management review;
• Schedule meetings, conference and video calls;
• Make travel arrangements and prepare travel vouchers;
• Review, sort and distribute mail;
• Scan documents for electronic filing;
• Answer phones, respond to inquiries and direct to appropriate staff;
• Maintain files and perform routine clerical functions.
