Salary RangeFrom $50547 to $61229 Annually
Minimum Qualifications Candidates must be reachable on the appropriate Civil Service eligible list, or;
Candidates must have permanently served at least one year in a title designated as appropriate for transfer in accordance with Section 70.1 of the Civil Service Law. Candidates who have not held a permanent keyboarding title will be required to pass a performance test.
Duties Description The incumbent will be responsible for providing administrative support to the Public Information Office, including the Communication and Outreach unit, as well as specific support related to New York Paid Family Leave (PFL). Duties include, but are not limited to:
• Arrange and book meeting rooms or set up conference calls, teleconferences, videoconferences, webinars and staff training and assist in keeping all calendars up to date.
• Flag important performance management deadlines and requirements.
• Coordinate travel arrangements for staff, ensuring costs are within guidelines, prepare and timely submit travel vouchers using the Statewide Financial System (SFS).
• Answer calls related to PFL, including press inquiries and calls from Chamber and Executive offices.
• Order, distribute, track, and monitor inventory of PFL and WCB materials.
• Prepare PFL packets/folders for targeted stakeholder events and mail out PFL forms or other materials as requested.
• Develop and/or manage PFL status reports, including the outreach event tracker.
• Draft memos, letters, meeting notes, agendas, translation summary documents and other materials.
• Generate mass mail merge documents and assist in mass mailing efforts.
• Prepare PowerPoint Presentations and Excel documents.
• Monitor and track completion of probation reports, performance evaluations and mandatory training, maintain master evaluation list, follow up with supervisors to ensure timely completion.
• Coordinate and maintain records for staff office space, phones, company credit cards and office keys.
• Resolve day to day operational needs, coordinate workflow, order office supplies, transmitting instructions and information between all levels of staff.
• Coordinate and set up interviews.
• Assist with special projects and reports on an as needed basis.
