Minimum Qualifications Candidates must have one year of permanent competitive service in a title eligible for transfer via Section 70.1 of the Civil Service Law OR be reachable on the Civil Service Public Administration Traineeship Transition (PATT) eligible list.

Duties Description Under the direct supervision of the Administrative Officer 2, the Assistant Purchasing Agent will be responsible for the procurement of a wide variety of supplies, materials, equipment and services in support of the daily operations of the Canal. Specific duties include, but are not limited to the following:

•Manages and maintains the office supply inventory for Headquarters;

•Reviews requests for supplies and equipment and determines the procedures to follow;

•Works with the appropriate agency representative to gather and compile reporting or process data;

•Serves as the initial point of contact for questions, issues or concerns specific to the business unit, including providing written or verbal responses to correspondence, and manages shared mailbox calendar and communications;

•Attends internal or external meetings as needed;

•Updates the appropriate websites with procurement opportunities and awards;

•Assists in the preparation of Purchase Orders as new contracts are established;

•Works with remote locations and Shared Services on inventory;

•Compiles, prepares and maintains data from manual or automated files and other sources for various reports, publications, records, or other external or internal communications relative to purchasing and other business processes utilizing Microsoft Word and Excel;

•Participates in the bid/procurement process;

•Maintains data in spreadsheets and within applications including the Canals Financial Management System;

•Maintains and updates files for purchasing and supports closeout of procurement records;

•Supports reconciliation of purchases;

•Performs a variety of projects and duties as assigned.
