Minimum Qualifications One year as an Office Assistant 1; or one year of permanent service in a clerical or keyboarding title allocated to Grade 5 or higher and candidate must have permanent appointment in a Office Assistant 2 (Keyboarding) classified position (or be eligible for transfer) or be reachable for appointment on the current NY State Civil Service eligible list for Office Assistant 2 (Keyboarding), Full-Time, Brockport location.
Duties Description Position Summary:
Office Assistant 2 (Keyboarding), GradeĀ 9 in the Office of Undergraduate Admissions.
Essential Functions:
Imports daily Banner transactions to Hobsons, imports rejects and manages lead downloads from various sources and importing to Hobsons. Leans and obtains substantive knowledge of our systems.
Coordinates documentation collection and communicates with prospective Equal Opportunity Program (EOP) students.
Handles sensitive applicant data, requests, or other inquiries from prospective students.
Collects and distributes weekly reports.
Coordinates weekly mailings to prospective students.
Types and updates letters to be mailed to students per the office mailing cycle.
Enters prospective student information into the Banner system.
Manages ASC tape downloads and prospective student downloads.
Develops and updates procedure manual: gathers, compiles, and prepares data from manual or automated files.
Responds to student inquiries via email.
Reviews forms and other pertinent student application documentation and makes appropriate determinations of documents.
Coordinates support staff meetings.
Answers overflow incoming calls to office.
Supervises student employees.
Preferred Qualifications:
Works proficiently with Microsoft Word, Access, and Excel.
Possesses good interpersonal and communication skills.
Is able to multi-task and prioritize work.
Is able to communicate basic information clearly and politely by telephone and in person.
Is able to work as a member of office teams.
Is able to work with a culturally diverse population.
