Duties Description The incumbent will provide clerical assistance to the OASAS Director of Addiction Medicine and the John L. Norris Addiction Treatment Center (ATC). Duties may include but are not limited to: open, stamp, review, sort and distribute all incoming mail, flagging items of importance; and preparing outgoing mail; write and/or respond to various correspondence (letters, memorandum or forms); perform data entry; forms management; greet and provide assistance to patients, visitors and staff; responding to needs of the public in the reception area; answer and respond to phone inquiries, referring to appropriate staff as necessary; design clerical processing procedures; gather, compile, and prepare data for various reports, publications, records or other external/internal communications, including any necessary photocopying; make travel arrangements/reservations; coordinate and schedule meetings, workshops, webinars, video conferences, and phone conferences; reserve/schedule conference rooms; assemble materials needed; organize and schedule Quarterly Medical Advisory Panel and Quarterly Healthcare Coordinator meetings through WebEx; schedule online webinars and video conferences; maintain Healthcare Coordinator email list and Executive team members email list; update Block Grant information; process admissions as needed; assist with various aspects of admissions/discharges and related documents; maintain office supplies for facility; use of common office software, email and electronic medical record; utilization of ASCA and SFS systems for necessary purchases, staff travel, etc.; assist staff with computer issues as needed; maintain copier services and submits monthly reports to Xerox consistent with service agreement; provide back-up services of other office staff as needed; other duties as assigned.

Background Investigation Requirements:

Prospective employees whose names appear on the SEL as having been found responsible for serious or repeated acts of abuse or neglect will be barred from appointment and may have their names removed from the eligible list(s) for the title(s) if applicable. 2) Investigated through a Criminal Background Check (CBC) that includes State and federal Criminal History Record Checks. All convictions must be reported; conviction of a felony or misdemeanor, or any falsified or omitted information on the prospective appointee’s employment application may bar appointment or result in removal after appointment. Each case will be determined on its own merits, consistent with the applicable provisions of State and federal laws, rules, and regulations. Prospective employees will be fingerprinted in order to obtain a record of their criminal history information, and may be required to pay any necessary fees. 3) Screened against the Statewide Central Register of Child Abuse and Maltreatment (SCR). Prospective employees may be required to pay any necessary fees. Additionally, prospective employees whose names are indicated on the SCR may be barred from appointment.
