Salary RangeFrom $36051 to $44311 Annually
Minimum Qualifications Open to NYS employees with one year of permanent competitive service as a Office Assistant 2/Clerk 2, G-9, or in a title at Grade 7 or above that is eligible for transfer under Section 70.1 of the Civil Service Law. The transfer cannot be a second consecutive transfer resulting in an advancement of more than two salary grades.

Duties Description Under the direction of the NYS Deputy Chief Information Officer, within the Chief Operations Office Facilities, the Office Assistant 2 will be responsible for the supervision of Office Assistants as well as the management and coordination of ITS fleet and other duties, as assigned.
Specific duties include, but are not limited to, the following:
- Assign daily work to the Office Assistants. Confirm they have the knowledge and tools needed to complete the assignment timely and correctly.
- Review work and provide any guidance as needed.
- Evaluate subordinates.
- Review and sign timecards.
- Approve time off and ensure proper coverage.
- Confirm Mandatory training is completed on time and recommend other training as needed.
- Coordinate/manage all records for the (19) ITS fleet vehicles located throughout the State including (6) Swan St pool vehicles.
- Oversee calendar, maintenance and mileage logs.
- Manage schedules for the use of vehicles assigned to Swan St.
- Research costs and recommend alternatives for purchases such as: tires, repairs and oil changes.
- Coordinate ITS participation in the LENS program, approves drivers and maintains associated records.
- Manage ITS Paycheck Distribution process.
- Manage and maintain the Facilities Program Shared mailbox, calendar, & SharePoint site.
- Assist with the management of vendor supplied Building Security Service.
- Coordinate/manage building key distribution and record keeping.
- Oversee Tenant Alteration Request (TAR) submitted to OGS.
- Design clerical processing procedures.
- Gather, compile, and prepare data from manual or automated files and other sources for various reports, publications, records, or other external or internal communications.
- Respond to inquiries concerning the operation of the Facilities unit or Swan Street building program. area.
- Prepare responses to written correspondence.
- Resolve work problems/conflicts.
- Communicate effectively with all levels of agency staff and OGS building management office in person, via phone or through email and work orders.
