To be considered for permanent appointment, candidates must be reachable on the current Civil Service eligible list or be eligible for reassignment or transfer in accordance with Civil Service Law.
Duties Description
The incumbent will be responsible timely and accurate processing of the following forms and additional tasks for two regions:
• Process Direct Deposit, Tax Deduction, and Retirement Registration forms;
• Contact employees via email or phone to resolve inaccuracies on forms;
• Process Retirement Statement of Accruals (PER-28 forms);
• Enter historical employee data into a NYS Retirement System Application;
• Process time entry payments for temporary employees and other special payments such as Tool Allowance, Uniform Allowance, Call Out Bonus, and Shift Lump Sums;
• Process Lump sum payments for retiring/resigning employees;
• Check and audit payroll processed by other Payroll Assistants;
• Assist with answering emails sent to the Payroll Unit Mailbox as backup when other Payroll Assistants are absent. Mailbox questions should be answered quickly and courteously;
• Work with other Payroll Assistants to sort and distribute paychecks to the Regional Offices;
• Assist with answering Payroll main phone line per an established schedule;
• Special projects assigned by supervisor/head of Payroll;
• Cover other Payroll Assistants in their absence assisting with various Regions;
• Archive old files, hold files, inactive employees, etc. This is to be done timely and in an organized manner so that when recalled the material can be retrieved quickly;
• Answer employees’ inquiries via telephone and email;
• Research and process one or more hold files (timesheet and paycheck reconciliation);
• Verify accuracy of Proposed Classification Request forms (PER 120);
• Miscellaneous tasks as assigned by supervisor.
