Minimum Qualifications Administrative Specialist, SG-18: eligible for a 52.6 transfer.

Administrative Specialist 1 Trainee, NS: reachable on the Department of Civil Service’s PATT eligible list (Department of Civil employees only), reachable on the PCO eligible list, eligible for a Section 70.1 or 70.4 transfer, or 55-b/c eligible (Must have Bachelor’s Degree and 55b/c designation letter to qualify)

Duties Description The incumbent serves as the main contact person for members of the public and for local civil service agency staff who require assistance from Municipal Service Division. Responsibilities include:

• Communicating with Testing Services Division staff concerning requests and inquiries submitted by local civil service administrators, appointing authorities and candidates.

• Assisting with the coordination of the Department’s Civil Service Institute for local civil service administrators by scheduling presenters, assisting with the preparation, editing and branding of training materials, arranging for training sites and equipment.

• Assisting with research projects by collecting and organizing data and preparing summaries and reports.

• Supporting Division outreach efforts by making travel arrangements, assisting with the preparation of the Division’s travel budget and assisting Division staff with the use of the State Financial System (SFS).

• Coordinating the monthly report for the Division’s technical assistance, training and examination support functions; answering the telephone and directing callers appropriately; greeting visitors and directing them appropriately.

• Organizing and maintaining Division records regarding training efforts, forms, manuals, and internal procedures. Serving as the Division’s form coordinator. Scanning and indexing the Division’s paper files to make them available electronically.


• Preparing and tracking correspondence to municipal civil service agencies and other external parties. Maintaining contact information and distribution lists of local civil service administrators.
