Minimum Qualifications QUALIFICATIONS AND SKILLS:
• Outstanding time management skills, with proven ability to multi-task, accomplishing numerous tasks and changing priorities in an effective and timely manner; demonstrated ability to execute on short-term, deadline-driven tasks daily, and long-term projects requiring collaboration with external constituencies.

• Comfortable with new technology, including databases, and troubleshooting software and equipment, as needed (e.g. audio/visual and conference call equipment, case management systems, etc.)
• Sound judgment, maturity, and the ability to handle sensitive and confidential information with absolute discretion.
• Strong work ethic and positive attitude, with an independent disposition and a willingness to take initiative and generate create solutions to challenges.
• Strong interpersonal, written, and verbal communication skills.

Duties Description The Executive Assistant will play a key role in the Attorney General’s Office by providing exceptional support to members of the Senior Leadership Team, including the 1st Deputy Attorney General. This position will represent the 1st Deputy and the Attorney General’s Office in interactions with external and internal constituents and operate with independence, discretion, and efficiency.

The ideal candidate for this role will be an independent individual who is an excellent communicator, quick to learn new systems and processes, and open to feedback. Success in this position requires the ability to thrive in a fast paced environment and to juggle, manage, and drive a variety of tasks and activities at once.

The Executive Assistant will have the opportunity to interact with lawyers and the work of the Attorney General’s Office in a variety of ways, including by filtering information, responding to inquiries, and preparing summaries and briefings.

KEY RESPONSIBILITIES:

EXECUTIVE SUPPORT (80%)
• Provide administrative support to the 1st Deputy and other senior leadership. Support will include directing incoming calls and visitors, scheduling meetings and conference calls, managing calendars, arranging travel, managing and prioritizing phone messages and email, including responding where appropriate, and processing expenses.
• Respond to and follow up on emails, phone calls, and in-person meetings.
• Play a support role in internal and external communications; maintain open communication flows among teams, departments, consultants, and external partners.
• Develop and maintain relationships with key employees in the Attorney General’s Office and at partner agencies and organizations.
• Manage logistics for internal and external meetings, including researching and preparing information for use in meetings, organizing schedules of multiple participants, and ensuring meetings have space and technology necessary.
• Work closely and coordinate with all members of the Executive team and Division Chiefs.
• Assume a proactive role in increasing productivity, efficiency, and organization, ensuring that time is focused on accomplishing the senior team’s highest priorities.
• Demonstrate independent judgment and move activities/efforts forward.
• Other duties as assigned.

GENERAL SUPPORT (10%)

• Support on Human Resources and orientation for new staff to ensure they feel well-supported and oriented to systems and policies.
• Contribute to general operations and office management needs as a member of the Administrative team.
• Act as a resource for Division staff, particularly those coming from other offices, to ensure they have what they need and feel welcome.
SRATEGIC PROJECTS (10%):
• Ensure the 1st Deputy and other members of the leadership team have what they need for presentations, speeches, press events, and general meetings.
• Assist in designing, planning, and execution of special projects and initiatives in collaboration with the 1st Deputy and other team members; these projects will evolve over time depending on strategic need and will be adjusted to the skill and growth of the individual.
