Minimum Qualifications Candidates must be reachable for appointment on the Civil Service eligible list for Secretary 1 OR have one year of permanent competitive service in a title eligible for transfer via Section 70.1 of the Civil Service Law.

A typing performance test is required for all transfer candidates who have not previously held a keyboarding title. Candidates must pass a five minute typing test at the speed of 30 words per minute with at least a 96% accuracy rate.

Duties Description The NYS Canal Corporation is seeking candidates for a Secretary 1 position at their Albany Headquarters. The incumbent will be responsible for the administrative support for Executive Staff, Management and Program Areas for the Canal Corporation. Duties include, but are not limited to:

• Manage and maintain the calendar of events; share calendar updates with staff; provide support at the weekly calendar of events meetings; coordinate the updates to our outward-facing web-based calendar of events;

• Schedule and coordinate meetings, conference calls, interviews, event related activities, etc.;

• Assist in the organization of events, conferences and boat shows by guiding the application process for each event; serve as liaison to show organizers, assemble and Prepare exhibit material; and maintain staff schedules and assignments;

• Coordinate itineraries; i.e., coordinate hotel and travel reservations; prepare approval requests, advances, travel vouchers and related Finance forms;

• Reconcile Procurement cards and travel cards; collect receipts for purchases and enter appropriate cost and budget codes into system;

• Monitor the Marketing & Event and Sponsorships budgets and regularly report on the budget status;

• Answer phones; assist customers with cruising guide orders by preparing and mailing orders, update tracking database and answer boater inquiries and relay customer service requests to the appropriate area;

• Assist the Department of Labor Call Center with managing the Canals toll-free phone line, including collaborating with DOL to update Canal procedures and phone messages

• Procure apparel, promotional material and merchandise on the Corporation’s behalf;

• Monitor and process vendor requisitions and accounts payable documents; and process new vendor requests;

• Maintain the inventory of literature, marketing merchandise and other materials to be used at events, including placing and verifying the receipt of orders; coordinating with our Marketing Director and Trails Manager to ensure that our inventory is current; research new promotional product information and assist in decision-making for new merchandise;

• Assist the Marketing Director, Trails Manager, Director of Community & Economic Development and the Director of Policy & Program Development in coordinating with the Media and Social Media offices on branding for all programs, events and initiatives for the Corporation;

• Coordinate all administrative responsibilities in support of the Canal Education Program;

• Provide administrative support for all long-term projects by working with internal and external partners to meet target deadlines;
