Minimum Qualifications Interested candidates must be reachable on the Secretary 1 eligible list or eligible to transfer under Section 70.1 of the Civil Service Law.
70.1 Transfer
To be eligible to transfer under Section 70.1, candidates must have one year of permanent, competitive service in a qualifying title allocated to a salary grade 9 or higher. If the candidate is not currently incumbering, or has not previously held a keyboard or secretarial title, the candidate must take and pass a typing proficiency exam to qualify for transfer.
Duties Description • Welcome and direct visitors (staff from Albany, investors, prospective retirees) to the proper conference room or work station; ensure visitors are comfortable and provide instructions on the security door, bathroom, pantry, etc.
• Screen telephone calls, handling routine inquiries where possible; refer callers to appropriate personnel based on understanding the roles and responsibility of each investment officer; gather information on complex questions and consult with appropriate staff to verify information.
• Schedule meetings, setup and prepare conference rooms, post conference room schedules and provide video conference support; assist with the planning and setup of investment committee meetings such as the Investment Advisory Committee (IAC) and the Real Estate Advisory Committee (REAC).
• Open, review, sort and distribute mail; manage courier mail pick-up and drop-off; pick-up and distribute newspapers.
• Screen and review incoming correspondence and prepare responses to routine matters based, refer other correspondence to appropriate individual for response based on understanding the roles and responsibility of each investment officer.
• Prepare letters, memos, drafts, etc. based on instruction from the Executive Assistant to the CIO or other asset class staff.
• Assist with bi-weekly new employee orientation; ensure all materials have been received from Human Resources in Albany, setup the conference room, connect video conference, assist new employees with questions on orientation documents, provide instruction on bathrooms, security, etc., escort employees to their floor and/or workstation when orientation is complete and send completed paperwork to the Albany office.
• Provide confidential secretarial support for the Executive Assistant to the CIO, asset classes and their staff, including compiling meeting materials and disseminating to investment teams.
• Assist with preparing and processing travel related documents, including pre-approvals, researching travel arrangements, travel vouchers, reconciling receipts, and more as needed.
• Setup and maintain paper and electronic files as needed.
• Monitor office supplies and request reorders as needed; ensure copy areas have supplies and are stocked with paper.
• Communicate verbally and in writing with internal and external customers.
• Coordinate and collaborate with administrative staff and the Operations team to ensure workload coverage.
• Special projects as requested by Executive Assistant to the CIO.
