Minimum Qualifications Education level required: Associate’s Degree

Relevant experience: Minimum of two (2) years’ experience executive assistant in a government setting or law firm, or the equivalent, is preferred.

Knowledge and skills required: Excellent verbal and written communication skills and superior organizational skills are a must. Ability to work collegially and effectively in a small team setting. Ability to meet tight deadlines. Detail orientation, professionalism, and ability to handle extremely confidential information. Working knowledge of Microsoft Office Suite is required.

Duties Description Under the general direction of the Chief Enforcement Counsel, the incumbent performs confidential secretarial and administrative duties.

• Establishes and maintains confidential and general record keeping systems
• Management, maintenance, and filing of Chief Enforcement Counsel’s files.
• Screens all telephone calls and visitors; provides information and referrals to appropriate resources when required.
• Coordinates, schedules and maintains the Chief's appointment calendar.
• Reviews all correspondence addressed to the Chief:
o Determines which correspondence should be referred to other officials/programs for reply.
o Compiles all necessary background information pertaining to correspondence referred to the Chief for reply.
o Develops and maintains a correspondence follow-up system. Tracks replies to insure timely response.
• As directed, replies to routine correspondence or drafts a response for the Chief's signature.
• Coordinates all travel arrangements, prepares itineraries, maintains expense records and ensures that all travel documents are in order in accordance with agency and OSC requirements.
• Prepares general correspondence, confidential reports, speeches and related documents.
• Monitors projects to insure that established timelines are met.
• Performs other duties as required.
