Minimum Qualifications Candidates must be current state employees and have a reachable score on the Secretary 1 list or have a current permanent appointment with 1 year of service as a Secretary 1 or as a title eligible for transfer to Secretary 1 or appointment as Secretary 1 here at UAlbany, less than 1 year of service (remainder of probationary period to be completed in new assignment), Grade 9 with one year in service looking to do 70.1 two grade jump to grade 11, or be a former state employee eligible for reinstatement to the title of Secretary 1. May be filled from a mandatory reemployment list if one is in effect at the time of appointment.

Preferred Qualifications: Knowledge and/or experience in using MS Word and MS Excel.

Duties Description (Summers: 8:30 AM - 4:30 PM)

Provide principal administrative support to the School of Social Welfare; Front desk reception duties (field / transfer calls and greet visitors); Maintain calendars for professional staff; Arrange meetings and prepare conference materials; Coordinate event scheduling for the Department; Coordinate travel arrangements and the voucher process; Draft letters for review and signature; Prepare reports, write minutes and summarize meeting conclusions; Create and maintain records maintenance systems; Maintain basic program accounts for budgeting, purchasing activities (ex. ordering supplies, using P-Card, etc.) and other personnel tasks (forms prep, on-boarding new hires, etc.); Oversee the coordination of the overall office paper / electronic work flow; Supervise and train support staff as needed; Provide administrative support to various faculty members; Process payments using State, Research Foundation, and University at Albany Foundation accounts; Process office purchases and purchase requisitions; Assist faculty with editing publications, photocopying and scanning; Process Physical Facilities work orders; Submit new asset and surplus forms to Office of Equipment Management for the School; Arrange room requests via online system; Assist faculty with new hire paperwork for student research assistant positions; Arrange setup, catering, and parking for departmental symposiums and events; Supervise graduate student workers; Organize interviews and itineraries for perspective faculty candidates

Ideal opportunity for Grade 9 with one year in service looking for Promotion to Grade 11. Typing proficiency test will be given if necessary at SUNY.
