Minimum Qualifications • High School Diploma: Associates Degree preferred;
• Minimum four years of experience in program support role or Administrative Assistant for multiple staff with varying job responsibilities;
• Highly proficient in the use of Microsoft Office including Excel and PowerPoint;
• Excellent organizational, interpersonal, customer service and written communication skills;
• Ability to work as part of a team and independently;
• Ability to deal with multiple priorities and competing deadlines;
• Attention to detail a must;
• A satisfactory equivalent combination of appropriate experience and education as determined by the NYS Governor’s Office of Employee Relations.
Duties Description Under the supervision of a professional staff member, office manager or senior support staff member, provides direct secretarial support to one or more professional staff.
Duties include, but are not limited to:
• Open, review, sort and distribute mail in accordance with staff assignments;
• Review incoming correspondence, email and reports to determine their significance. Make recommendations to professional staff and refer to appropriate person, attaching reference materials from files. Set deadlines for response and follow-up to insure deadline is met;
• Perform basic research for reports and correspondence as requested by professional staff or supervisor;
• Answer the telephone, respond to basic questions concerning policy or procedures and refer more complex questions to appropriate staff member;
• As assigned by professional staff, monitor, track and report on status of program activities;
• Review, edit, format and produce letters, documents, reports and other written materials. Insure that all attachments and enclosures are included;
• Prepare draft responses to routine correspondence and draft report cover letters for review by professional staff;
• Design, set up and maintain data storage systems, including paper and electronic files and libraries of books, periodicals and discs. Retrieve material from these systems as requested by professional staff. Periodically purge obsolete material for storage in records center or for disposal;
• Maintain electronic and paper calendars. Schedule meetings;
• Make travel arrangements, including accommodations and itineraries. Prepare and process travel vouchers, including all documentation;
• Arrange for conferences, hearings and negotiation sessions. Assist in site selection and arrange the logistics of the gathering, including provision for refreshments. Contact all participants and coordinate registration. Assemble conference and hearing materials;
• Attend conferences and meetings to assist with registration and to take notes. Act as recorder for meetings, hearings and negotiation sessions. Produce timely and accurate reports of proceedings;
• Participate in and occasionally lead work teams for special projects. As team leader, plan, organize and oversee the project;
• Cooperate with other support staff in providing coverage for support functions throughout the agency;
• May supervise lower level secretarial and clerical staff in the performance of secretarial and administrative support.
