Minimum Qualifications Transfer Qualifications Any permanent Office Assistant 2 (Keyboarding) OR
Any person eligible for 70.1 transfer.

Minimum Qualifications: You must be a qualified employee of New York State and have had three months of permanent competitive service as follows: as a Data Entry Machine Operator, Data Entry Machine Operator (Spanish Language), Keyboard Specialist 1, Keyboard Specialist 1 (Chinese Language), Keyboard Specialist 1 (Spanish Language), Law Department Document Specialist Trainee 1 or Trainee 2, Office Assistant 1 (Keyboarding), Office Assistant 1 Keyboarding (Chinese Language), or Office Assistant 1 Keyboarding (Spanish Language).
Duties Description PRIMARY DUTIES AND RESPONSIBILITIES:
Include, but not limited to:
• All clerical work assigned by Treatment Team Leader, Developmental Assistant 3, mid-levels (typing, filing, scheduling).
• Coordinates and maintains staffing schedules for the Treatment Team Leaders.
• Inventory and ordering of office supplies, equipment, etc.
• Prepare and review legal paper (Court Orders, 2PC, Court Notification, affidavits, CPL 730 and CPL 330 documents) for accuracy, timeliness and thoroughness.
• Have applicable knowledge of salient MH laws and ICF regulations to ensure documentation
• Compliance with these rules and regulations
• May supervise Keyboard Specialist 1.
• Assist Keyboard Specialist I with all aspects of their job when available.
• Minutes for clinical meetings.
• Maintains and audits petty cash.
• Extensive use of computers primarily for presentation, creating and maintaining spread sheets, and data base application, creating forms, correspondences, and word processing applications.
• Maintains missing person profiles, Policy and Procedure Manuals, and Operations Manual.
• Assist in preparation for IUR/IPR and DOH surveys, including all chart reviews.
• Maintains routine reports and responsibilities such as Monthly Reports, Incident Reports, Census, Meeting Notices, etc.
• Pick up mail, stamp in, sort and distribute to Team Leader, Team members and the
Individuals who live at RIT 1.
• Answer telephone for Team Leader and all team members. Take messages and page when necessary.
• TABS-Must have knowledge of Tracking and Billing System. Do changes for the Team when Keyboard Specialist 1 is not available.
• Responsible for ensuring paperwork is in order when a person is admitted or discharged. Prepare Mock Charts when individuals are transferred.
• All other duties as assigned.
